Offboarding Checklist

We understand that our valued employees may have opportunities that conclude their current employment with Student Life. This page contains helpful resources to aid in the offboarding of staff.

Resignation from Student Life but remaining at UA

When a staff member accepts a position within the University but outside of Student Life, their new department will complete the personnel action form (ePA) that ends their current Student Life assignment and begins the new assignment. The employee should submit a written notice of resignation to their Student Life supervisor and coordinate a transition plan.

Resignation from UA

When completely resigning from UA, an employee should submit a written notice of resignation to their supervisor. The supervisor will provide a written acceptance of your resignation.

Retirement

If an employee is retiring, they should submit a written notice of retirement plans to their supervisor. The supervisor will provide a written acceptance of retirement. We encourage the retiring employee to review the Human Resources guide for retirement planning.

Departmental Offboarding Items

  • Notify business services that an employee is resigning or retiring.
    • Forward the written resignation and acceptance of resignation to be attached to the ePA.
  • Set up an out-of-office email response that states the person in question is no longer employed with the department and include their supervisor’s contact information for assistance.
  • Cancellation of p-card if applicable.
  • Reassign approver roles for the interim (e-time, monthly leave, concur, PageUP, etc.).
  • Data continuity – update user roles to ensure no loss of data.
    • Forward UA box folder ownership
    • Qualtrics account(s)
    • Department specific software
  • Cancel building access and collect keys.
  • Collect portable equipment and any UA property.
  • Remove staff from the website.
  • Update phone lines and names and/or forward the phone.

Business Services Items

Business Services will:

  • Submit the voluntary separation or retirement ePA.
  • Assist with Concur and p-card updates.
  • Assist with BuyBama updates.
